How to create and manage licenses in the new Licensing Portal

With the latest release of our Licensing Portal the look and feel has slightly changed, but the principles of the old Licensing Portal remain the same.

Besides a dynamic search, a better structure,  there are many other improvements regarding the usability.

We are not going to stop here - instead we are planning to add several new, very helpful bulk operations to the Licensing Portal during the next couple of weeks. Stay tuned!

 

The Licensing Portal is now fully integrated into our M.App Exchange platform, so that you can manage licenses and users within the same system.

 

The well known URL to our licensing portal will now take you our M.App Exchange where you can you login.

Afterwards click on Manage > Licenses and the system will take you to the Licensing Portal (we consider this as an interim solution until an redirect issue has been fixed; of course is our goal that https://hexagongeospatial.force.com/licensingportal should take you straight to the Licensing Portal again)

New Licensing Portal – Create and Manage Licenses

 

 

After logging into the Licensing Portal (License Management) you will see two large buttons, View Claimed Licenses and Manage Licenses.

  • View Claimed Licenses allows you to Search, Email or Consolidate claimed license files
  • Manage Licenses allows you to Create, Rehost or Upgrade a license

The following icons are also displayed.

   2.png“License Management Help Page” - Directs you to the eTraining > Licensing page of the Hexagon Geospatial               

          Community.

   3.png“Create Ticket” - Used to create a licensing support ticket.

   4.png“Switch Selected Account” - If ‘child’ accounts report up to your organization, this icon is used to switch to the licensing               portal of ‘child’ accounts. 

 5.png Search licenses by product name, Tag, Department or Contact.

 

 

How to create a license?

 

  1. Select the Manage Licenses button.6.png
  2. Select the available product name. A Details dialog will open displaying:7.png    a. License information.

This example lists the details for an APOLLO Essentials Subscription including:

License Type:                 CC (Concurrent)

Contract Start Date         08/31/2018

Contract End Date          03/30/2020

Quantity                          50  (Total number of licenses)

Available for Licensing:   47  (Number of licenses available to be claimed)

The Create Licenses and Create Ticket tabs are always active. Other tab activation depends on the type of license/s selected.

 

Create Licenses: Selected when a license is to be created.

 

Request Re-host: Approval is needed to create a new Activation ID or .lic file. When approved this tab changes to Re-host Licenses.

 

Upgrade License: Upgrading to a new product version, Activation ID or .lic file (offline), does not require approval.

 

Downgrade License: Downgrading to an older product version requires approval. Once approved a new Activation ID or .lic file can be created.

 

Return License: When the Salesforce Asset freeze date does not exist, the license can be returned.

 

Download Licenses: When licenses are offline .lic files the files can be downloaded.

 

Email Licenses: Email License files to the contact.

 

Create Tickets: Used to submit licensing support tickets.

 

Change Attributes: Used to enter or edit Contact, Department and Tag information.

 

  1. Select the Create Licenses tab. A Create Licenses dialog opens.8a.png
  2. Enter:
    1. Target Version. If the version 16.5 or higher is selected an ‘Offline’ checkbox will display.9.png
    2.  (Optional and only available if offline availabilty had been requested) Check the box beside Offline Licenses if licenses are to be installed on a machine with no internet access. A .lic files will be generated. If Offline licenses are desired, you must enter:
      1. Offline License Type. Select from the pulldown:10.png
      2. Server ID
    3. Type or use the up/down arrows to enter the Quantity of licenses you wish to create/claim.
    4. (Optional) Enter a contact name by selecting from the pulldown or create a new contact by entering First Name, Last Name and Email Address into the Create New Contact dialoge

    6. If not an Offline license, you will have the option to check the Email Licenses box. A license .xml file will be attached to an email sent to the contact.
    7. Select the Create Licenses button.

Manage the License:

In the Details dialog, select the checkbox to the left of the license you created. Depending on the type of license and the options selected, when the license was created, tabs will become active.

 

  1. Offline LicenseIf an Offline License was created the .lic file can either be downloaded or emailed by selecting the Download Licenses or Email Licenses tab.

    This .lic file can then be entered into the Geospatial License Administration tool by selecting:

    1. View > Legacy License File (*.lic) > Import License File.
    2. After choosing the .lic file, select Open.
  2. Activation ID License: If the License was not created as offline, you can copy the Activation ID and enter it into the Geospatial License Administration tool by selecting:
    1. Licenses > Activate License(s) > Add
    2. Paste the Concurrent (CC) or Nodelock (NL) Activation Id
    3. Select OK
    4. Select the Activate button
  3. Activation XML file: If the Email License option was selected, an .xml file will be attached to the Email sent to the contact. This .xml file can be entered into the Geospatial License Administration tool by selecting:
    1. License > Activate License(s) > Browse File
    2. After the *.xml file is selected click Ok
  4. Emailed License:  If the Email Licenses checkbox was selected, an .xml file will be attached to the email sent to the contact. This .xml file can be entered into the Geospatial License Administration tool by selecting:
    1. Licenses > Activate License(s) > Browse File
    2. After the .xml file is selected click OK
    1. Licenses > Activate License(s) > Add
    2. Paste the Concurrent (CC) or Nodelock (NL) Activation Id
    3. Select OK
    4. Select the Activate button

 

View License:

Select the View Claimed Licenses button. This will allow searches to be made, and licenses to be consolidated and emailed.

  1. Search: License searches can be made using, Product Name, Version, Activation ID, Contact, Department, and Tag.13.png
  2. Email Licenses: Select the check box, to the left of one or more Product Name/s, and then select the Email Licenses button. Licenses will be emailed to the contact.

  3. Consoldiate: 

    Offline 14.pnglicenses with the same Host ID can be consolidated into one .lic file.

    1. Select multiple check boxes beside Offline licenses.
    2. Select the Consolidate Licenses button. A dialog box will open15.png
    3. Select the radio button beside the licenses and then select Next. Welcome 16.pngwill become checked and Confirm 17.png will turn green. A list of licenses to consolidated will be displayed.18.png
    4. (Optional) By selecting the Email Consolidated License check box the .lic file will be emailed to the contact.
    5. Select Consolidate to create the consolidated .lic file. The consolidated license file can then be downloaded.
